Privacy Policy

Last updated: October 21, 2026

This policy explains how InnoHire Solutions, Inc. (“InnoHire”, “we”, “us”) collects and uses personal information when you visit careers.innohiresolutions.com, apply for a role, take part in our screening, and, if selected, work with us as an independent contractor. It is written for applicants and contractors worldwide, including the Philippines, Latin America, the United States and Europe.

1. Who we are

InnoHire Solutions, Inc. is a Wyoming corporation providing international staffing services, located at 30 N Gould St Ste R, Sheridan, WY 82801, United States. We decide how and why your information is used for recruitment and contractor management, so we are responsible for it as the “controller” (or “personal information controller” under Philippine law).

When we present your profile to a client, that client receives it as a separate organization and handles it under its own privacy policy. If you start working on a client project, the client’s platforms, tools and terms also apply to the work you do there.

Privacy questions and requests: info@innohiresolutions.com, subject line “Privacy request”.

2. Information we collect

When you apply:

  • contact details – name, email address, phone or WhatsApp number, country of residence;
  • your professional background – work history, employers and accounts you supported, years of experience, platforms you have worked on, skills, CV, LinkedIn profile and anything else you include;
  • availability – hours per week, preferred schedule, and your equipment and work setup;
  • a voice recording – the audio sample you upload or link to, which shows how you speak, including your accent and tone;
  • referral details – the name and email of the person who referred you, if you enter them. If you refer someone, they give us your name and email in the same way.

During screening: our notes and assessments (for example, an accent and communication rating), the emails and WhatsApp messages we exchange, and notes from short screening calls.

If you are selected and onboarded:

  • identity verification – an image of a government-issued ID (which may show your ID number, date of birth, nationality and photo), a selfie or live video check, and proof of address;
  • tax information – a W-8BEN form (non-US persons) or W-9 form (US persons), which may include a tax identification number;
  • contract details – your signed contractor agreement and onboarding answers;
  • payment details – your Wise account or other payout details and your payment history;
  • work records – hours worked, timesheets, project assignments, and quality feedback from the client.

Technical information: when you submit a form we record the date and time, your IP address, your browser type and the address of the page you came from, including campaign tags that show where you found the job (for example, a Facebook group or LinkedIn).

Voice recordings and biometrics. We listen to your recording to assess your spoken English for the role. We do not use it to create a voiceprint, to identify you automatically, or to train AI models. Recordings you make while working on a client project are covered by your contractor agreement, not by this policy.

3. How we use your information and why

  • To assess your application and match you with suitable roles – needed to take steps toward a contract with you, and our legitimate interest in recruiting qualified people.
  • To present your profile to a client for the role you applied for – based on the consent you give in the application form and our legitimate interest in providing staffing services.
  • To contact you by email, WhatsApp or phone about your application and the work – to take steps toward or perform a contract with you.
  • To verify your identity and prevent fraud, such as account sharing or impersonation – our legitimate interest and our clients’ security requirements; for ID documents, also your consent where the law requires it.
  • To manage the contract and pay you, including timesheets, invoices and tax forms – to perform the contract and meet legal and tax obligations.
  • To run the referral program and pay referral bonuses – to perform the program terms.
  • To see which recruitment channels work, using campaign tags in aggregate – our legitimate interest in improving recruitment.
  • To protect our rights and handle legal claims – our legitimate interest and legal obligations.

A person on our team reviews every application and recording. We do not make hiring decisions by automated means alone.

4. Who we share it with

  • Clients. For the role you applied for, we share a profile with your name, country, experience, platforms, availability, CV or LinkedIn, and your voice recording or a link to it. We do not share your ID documents, tax forms or payment details with clients, unless a client requires identity verification for project access and we tell you beforehand.
  • Service providers that work on our behalf under contract – website hosting, email and document tools, online forms and spreadsheets, messaging (WhatsApp), e-signature, identity verification and payments (Wise). They may use your information only to provide their services to us.
  • Authorities, when the law requires it, for example for tax reporting.
  • A buyer or successor, if our business is merged, acquired or sold, under the same protections.

We do not sell your personal information and do not share it for targeted advertising.

5. International transfers

We work with applicants and clients in many countries, so your information is processed in the United States, the European Union and other countries where we or our service providers operate. These countries may have different data protection laws from yours. Where the law requires it, we use safeguards such as standard contractual clauses and providers certified under recognized frameworks, and we limit access to people who need it.

6. How long we keep it

  • Applications that do not lead to an engagement – 12 months after you apply. Voice recordings from these applications – 6 months.
  • Our talent pool for future projects – longer only if you agree, and until you withdraw that consent.
  • Contractors – for the duration of the engagement, then 7 years for contract, tax and payment records.
  • Identity verification data – 3 years after the engagement ends.

We may keep information longer when the law requires it or to handle a legal claim. After that, we delete it or make it anonymous.

7. How we protect it

Our website uses encrypted connections (HTTPS). Files uploaded through our application forms are kept in a non-public location, and access to applicant and contractor data is limited to the people who need it, using accounts protected by strong passwords and multi-factor authentication where available. No system is completely secure, so if we learn of a breach that affects you, we will notify you and the authorities as the law requires.

8. Your rights

Depending on where you live, you can ask us to:

  • tell you what information we hold about you and give you a copy;
  • correct information that is wrong or incomplete;
  • delete your information or block its use;
  • stop or limit certain uses, including objecting to uses based on our legitimate interests;
  • send your information to you or another organization in a common format;
  • withdraw your consent at any time.

Withdrawing consent does not affect what we did before. If you withdraw consent to sharing your profile, we stop presenting it to clients and will tell any client that already received it about your request.

To make a request, email info@innohiresolutions.com with the subject “Privacy request”. We will reply within 30 days and may ask you to confirm your identity first. You can also complain to your local data protection authority.
